The program captures caller id, and provides a built-in address book that enables you to selectively record your incoming calls from your business partners, tax officers or friends. It further monitors your telephone line for all outgoing calls, and automatically records phone conversations if voice is detected. Moreover, it will instantly notify you of newly recorded messages through emails to your pager or cellular phone. Additionally, you can attach memos or notes to all logged calls. 1.2 How does it work.

To let EzPhone Recorder record your phone calls, you need a regular dialup modem that supports voice. Most recently-made dialup modems support voice and hence are voice modems. You should first install the modem card on your computer, run its driver setup software and then connect the phone line from your wall to the modem jack marked Line. EzPhone Recorder will use this modem to record both incoming and outgoing phone calls. 

To start recording manually at any time, you can simply click the Record button on EzPhone Recorder toolbar.

To auto-record incoming calls selectively, for example, to record calls from your business partners but not those from your relatives, you can create entries in EzPhone Recorder built-in address book. Upon receiving a new call, the program will look up caller id in its built-in address book, and start recording phone conversations only when you have selected there.

To monitor phone line activities and auto-record outgoing calls, this program will be checking phone lines every few seconds based on your configuration, it will start recording only when voice is detected.

To get notified of auto-recorded incoming and outgoing calls, EzPhone Recorder will forward all messages and logs as emails to your pager or cellular phones. This feature requires you to have an always on internet service.

1.3 How to purchase this product and obtain a license key.

To purchase / register EzPhone Recorder Pro, please first logon to the internet and then click the Register button on your EzPhone Recorder toolbar to display the Registration window. Once you click the order link on the Register window, EzPhone Recorder will bring you to the registration form in your web browser. You can simply follow the instructions on the web form to make your payment.

Upon completion of your transaction, you can request your license key by submitting the user id to the following form. You will find the auto-generated user id on the top-left corner of the Registration window. Upon submission of your license request, your license key will be automatically generated and emailed to you within a few minutes.

Request EzPhone Recorder License Key

Once receiving this key, please click the Register button on your EzPhone Recorder toolbar and enter the key into the license key field on the Registration window. EzPhone Recorder will now run on your machine permanently.

2.1 Run EzPhone Recorder to record your phone calls.

Congratulation on selecting EzPhone Recorder as your telephone recording software. You are now eager to know what setup steps are required to quickly start EzPhone Recorder. The answer is: no setup is required if you want to manually record outgoing calls and auto-record all incoming calls. EzPhone Recorder has come with automatic hardware detection and will setup a default configuration for your system. Please make sure the phone line is connected to the modem and start enjoying this program now.

However if you have multiple modems installed on your computer, you might want to choose a different one other than the default selection by EzPhone Recorder. You can do so by following the instructions in Select your modem section.

If you want to monitor your phone line activities and auto-record outgoing calls, you can find details in Setup auto-recording mode for outgoing calls.

If you want to be notified of new calls, please refer to Setup email forwarding and notification.

3.1 Select your modem.

In most cases, EzPhone Recorder will automatically detect the suitable voice modem for you. However if you have multiple voice modems installed on your computer and all of them are good for recording calls, you should select a modem and make sure the one you have selected is physically connected to the telephone jack from the wall.

To select a modem, click Setup on EzPhone Recorder menu and choose Modem and Call Recording submenu item. A dialog window will be displayed, which contains a list of all voice modems on your computer. Select one modem from the list and click Next button to proceed to the final popup window. Click the OK button on the last popup window to save all settings.

3.2 Setup manual recording mode.

Under manual recording mode, you start recording phone conversations by clicking Record button on EzPhone Recorder toolbar. You can configure manual mode for either incoming or outgoing calls, or even both of them. For example, you might setup auto-recording mode for all incoming calls, but manual mode for outgoing calls made by yourself. 

To setup manual recording mode, click Setup on EzPhone Recorder menu and choose Modem and Call Recording submenu item. A dialog window will be displayed, click Next button on the dialog to bring up Setup Recording Mode window, select manual mode under incoming or outgoing call box on the window, then click Next button to proceed to the final window and click OK button on the last window to save all settings.

3.3 Setup auto-recording mode for incoming calls.

Upon receiving incoming calls under this mode, EzPhone Recorder will first wait for human to answer the call and then auto-record the phone conversations. It provides two options for auto-recording incoming calls. 

  1. Auto-record all incoming calls.
  2. Auto-record only those callers selected in the address book.

To utilize the first option, EzPhone Recorder does not require you to have any special features on your telephone line. However, to take advantage of the second option and selectively record incoming calls, you must subscribe to caller id service from your telephone company. When you activate auto-recording mode under the second option, EzPhone Recorder will capture caller id upon new calls, look up this id in its built-in address book and auto-start recording only when this caller is selected there.

To setup auto-recording mode for incoming calls, click Setup on EzPhone Recorder menu and choose Modem and Call Recording submenu item. A dialog window will be displayed, click Next button on the dialog to bring up Setup Recording Mode window, select one of auto-recording modes under Incoming Call Box on the window, then click Next button to proceed to the final window and click OK button on the last window to save all settings.

3.4 Setup auto-recording mode for outgoing calls.

3.5 Enable super-monitoring mode for outgoing calls.

To monitor your telephone line activities and auto-record all outgoing calls, EzPhone Recorder will check your telephone line activities every few seconds and automatically record phone conversations when voice is detected. You can configure how frequent EzPhone Recorder checks your phone line activities.

When auto-monitoring and recording outgoing calls, EzPhone Recorder further provides super-monitoring option that user can activate to hide all EzPhone Recorder windows from the desktop.

To setup auto-recording mode for outgoing calls and configure its parameters, click Setup on EzPhone Recorder menu and choose Modem and Call Recording submenu item. A dialog window will be displayed, click Next button to bring up Setup Recording Mode window, you will find all options under Outgoing Call Box on the window. Upon finishing configuration, please click Next button to proceed to the final window and click OK button on the last window to save all settings.

3.6 Configure call recording parameters.

EzPhone Recorder provides a common set of parameters for recording both incoming and outgoing calls. 

To limit the length of a recording, you can set a non-zero value in "Stop recording if more than xx minutes.". EzPhone Recorder will count the time from the start of a recording and stop the recording when the time limit you specify has been reached. Entering a zero will disable this function and EzPhone Recorder will record conversations for unlimited length.

To save disk space and not recording silence, EzPhone Recorder provides silence detection feature which will stop recording if a certain period of silence has been detected. It is recommended that you set the silence time longer than 5 seconds. To effectively detect the silence, a user configurable parameter called silence sensitivity is used. When voice volume falls below this threshold, EzPhone Recorder will treat it as silence. Therefore, it is recommended that this parameter be kept in a small value.

To configure call recording parameters, select Setup on EzPhone Recorder menu and choose Modem and Call Recording submenu item. Press Next button on each dialog window until the Setup End of Recording window is displayed. On this window, you will be able to set the length of a recording and silence parameters.

3.7 Select recording and playback devices for your legal announcement and recorded messages.

In most cases, EzPhone Recorder will automatically detect speaker and microphone on your computer. So you can use these devices to listen to recorded messages, and verify or record your legal announcement. However if you have multiple recording or playing devices and all of them are good for above purposes, you should select one of them.

To select a recording or playing device, click Setup on EzPhone Recorder menu and choose Legal Announcement submenu item. A dialog window will be displayed, which contains a dropdown list of all sound devices on your computer. Select recording and playing devices from the dropdown list and click Next button to proceed to the last popup and then click the OK button on the window to save these settings.

3.8 Setup your legal announcement.

EzPhone Recorder allows you to turn on or off your legal announcement prior to any recording. However, in certain countries or provinces, it is required by law that both parties should be notified. Therefore, it is your responsibility to make sure that you comply with your local, state or federal law when recording phone conversations. 

EzPhone Recorder installation program comes with a default legal announcement and you can easily re-record it. Before starting any recording, the program will first play this legal announcement followed by a beep. 

To record your own legal announcement, you can select Setup on EzPhone Recorder menu and choose Legal Announcement submenu item. A popup window will then be displayed, which will ask you to select recording or playing devices. In most cases, you do not have to change the selection unless you have multiple sound audio devices. You can click Next button on the popup window to proceed to Setup Legal Announcement window. Now you can turn on legal announcement option and click O (Record) button on the window to record your announcement. When you finish,  click Stop, and then OK button on the window to save all your settings. 

Note: To record your announcement, you need a microphone connected to your sound card. To listen to the announcement you have just recorded, you need a speaker.

3.9 Activate email forwarding and notification.

If you have an always-on Internet connection such as DSL or Cable, EzPhone Recorder can forward newly recorded voice messages to your email accounts. Since most cellular phones and pagers support short message service as emails, therefore activating this feature, you will be instantly notified of newly recorded calls or messages on your cellular phones or pagers.

To enable email forwarding, select Setup on EzPhone Recorder menu and choose Email Notification & Forwarding submenu item. A dialog window will be displayed, select one of the email forwarding modes, and click Next button to proceed to email server configuration window. After finish, click OK button on the dialog window to save all settings.

Note: It is recommended that, when email forwarding, not to select Attach Message option unless absolutely necessary as the size of recorded messages is usually big, it might quickly use up your email quotas. Moreover, if the email address is your cellular phone or pager, it might be required by your mobile service provider not to send text messages exceeding 160 characters.

4.1 Create your address book entries.

4.2 Selectively record individual callers.

4.3 Get notified of selected callers.

EzPhone Recorder comes with a built-in address book. When you create an entry in the address book, you can choose to whether record calls from this caller, and whether you should be notified if this person calls. When someone calls, EzPhone Recorder will capture its caller id and look it up in your address book. Based on caller id and your address book info, EzPhone Recorder will auto-record only those callers that you have selected in the address book, and notify you of new calls only when you have configured in your address book. 

To create your address book entries, you first switch to Address Book window by clicking Address tab under the folder tree window. You can then select one of the folders under address book, and creating a new address entry by:

  • Selecting File on EzPhone Recorder menu and choose New submenu item.
  • Right clicking on address list view window to bring shortcut menu and choose New menu item.

After above steps, the address entry dialog window will then be displayed, you can now enter your friend's contact numbers and select recording and notification options.

Note: To use this feature, it is required that you subscribe to caller id service from your telephone company. Additionally, your modem card must support caller id detection.

4.4 Play recorded messages.

To play a recorded message, select it first and then you can use one of the following methods:

  • Click > (Play) button at the bottom of the message list view window to start play.
  • Select File on EzPhone Recorder menu and choose Open submenu item.
  • Double click the message itself to bring the message information dialog.
  • Click the Open button on the EzPhone Recorder toolbar.

For the last three methods, a message dialog will be displayed. You can click > (Play) button at the bottom of the dialog window to start play.

4.5 Attach notes to recorded messages or address book entries.

To attach notes or memos to recorded messages or address book entries, you can use one of the following methods:

  • Double-click the item.
  • Select item and click Open button on the EzPhone Recorder toolbar.
  • Select item, go to File on EzPhone Recorder menu and choose Open submenu item.

A dialog window will then be displayed, which contains message details. You can enter your notes into the notes field on this dialog window.

4.6 Find recorded messages or address book entries.

To find recorded messages or address book entries, you can select Tools on EzPhone Recorder menu and choose Find submenu item. You can also click Find button on EzPhone Recorder toolbar. A dialog window will then be displayed, now you can specify your find options on this dialog window.

4.7 Sort recorded messages or address book entries.

To sort items, you can simply click on list view column header or select View menu item on EzPhone Recorder menu, choose Sort Messages By submenu item, and then select related fields that you want to sort.

4.8 Delete recorded messages or address book entries.

To delete recorded messages or address entries, you should select items you want to delete and then click Delete button on EzPhone Recorder toolbar or select Edit on EzPhone Recorder menu and choose Delete submenu item.

Deleted items will be sent to Deleted Folder first, it will be automatically emptied upon exit.

4.9 Move/Copy recorded messages or address book entries.

To move/copy recorded messages or address book entries, you first select items and then either click Move button on the toolbar or go to Edit on EzPhone Recorder menu, choose Move or Copy submenu item.

To move items, you can also drag your selected items and drop them to the target folder.

4.10 Create a new folder.

To create a new folder, select File on EzPhone Recorder menu, choose Folder submenu item and click on New. You can also use shortcut menu by right clicking on the folder tree window.

Note: The folder created will be under your current folder selection. Create folder under Deleted Messages folder will not be allowed.

4.11 Rename an existing folder.

To rename currently selected folder, click File on EzPhone Recorder menu, choose Folder submenu item and select Rename. You can also use shortcut menu by right clicking on the folder tree window.

Note: The system created folders (root folder, Inbox and Deleted Messages) are not allowed to be renamed.

4.12 Delete an existing folder.

To delete currently selected folder, select File on EzPhone Recorder menu, choose Folder submenu item and click on Delete. You can also use shortcut menu by right clicking in folder tree window.

Note:

  • The system created folders (root folder, Inbox and Deleted Messages) are not allowed to be deleted.
  • Non-empty folders will not be deleted.

4.13 Hide/Show toolbar or folder tree.

To hide/show toolbar or folder tree, you can select View on EzPhone Recorder menu, choose Toolbar or Folder Tree menu item. The ticks displayed besides these menu items indicate that the toolbar or folder tree is currently being displayed. Select these menu items again will hide toolbar or folder tree, and also remove ticks from these menu items.

4.14 Save recorded message to other locations.

Recorded messages can be saved to other locations or medias such as floppy disk. The message will be saved as a wave audio file. To save a recorded message, select the message first and then click File on EzPhone Recorder menu and choose Save As submenu item. You can also use shortcut menu by right clicking in message list view window.

Note: Only one recorded message can be saved at a time.

4.15 Read user manual.

To read user manual, you can select Help on EzPhone Recorder menu and choose User Manual submenu item. You can also click Manual button on EzPhone Recorder toolbar.

5.1 What is EzPhone Recorder user id.

EzPhone Recorder user id is a 10 character long string. This string is unique on per computer basis and is automatically generated by EzPhone Recorder after you install and run the program. The software will use this user id to verify against your license key. If the license key can be verified, EzPhone Recorder will never expire and hence you can keep the software permanently.

To find out this user id, you can simply click the Register button on EzPhone Recorder toolbar or select Help menu and choose Register sub-menu item. User id will then be displayed on the top left corner of the popup window.

5.2 How to obtain EzPhone Recorder license key.

To obtain your license key, please have your EzPhone Recorder user id ready (refer to the question above) and click the link below after you logon to the internet. If you are a registered EzPhone Recorder user, in other words if you have already purchased EzPhone Recorder. You will be emailed with license key within a few seconds upon submission of the license request form.

After receiving this key, please click the Register button on your EzPhone Recorder toolbar and enter it into the license key field. EzPhone Recorder will now run on your machine permanently without any nagging screens.

5.3 What is a voice modem and what are the recommended modems for EzPhone Recorder.

EzPhone Recorder will virtually work with all voice enabled modems. Voice modem is just a regular dialup modem which in addition to its data/fax capabilities, also supports voice. When you purchase a modem, please make sure to check answering machine and voice function with your modem vendor.

5.4 Does EzPhone Recorder monitor and record cellular phone conversations.

NO. EzPhone Recorder will monitor and record all land line phone conversations by using voice modems, but it will not record cellular phone conversations.

5.5 Why EzPhone Recorder does not record my phone calls correctly.

This can be many reasons, the following lists a few possibilities and their solutions.

  • Please make sure your modem is a voice modem, you can find this information under Modem and Call Recording under Setup menu on EzPhone Recorder main window.
  • If EzPhone Recorder displays that your modem is not a voice modem but your modem user manual or packaging box mentioned its telephone answering machine capabilities,  this may indicate the wrong installation of the modem driver. Please check your installation CD came with your modem card, if re-installation of this modem driver does not resolve the problem, please visit modem manufacturer's web site to download the latest modem driver.
  • If your modem is Agere PCI Soft Modem and you want to record voice messages longer than 60 seconds, please obtain a new voice modem as this modem has driver bugs that will automatically stop recording after 60 seconds.
  • Please make sure the telephone line is connected directly onto the modem jack marked Line. In addition, make sure no other devices is plugged to the modem jack marked Phone as some modems may have problems in recording calls when this jack is plugged with telephone devices.
  • If you are using Windows 2000 or XP, please make sure EzPhone Recorder is not installed under limited user account so EzPhone Recorder has both write and read access right to its directory.
  • If you are running on XP with SP2, please be aware that windows XP will automatically update your modem driver from time to time. On certain modems, this may cause problems. If this happens, please let windows notify you of such an installation so you can discard these modem driver updates.
  • If you successfully used EzPhone Recorder before but it stopped functioning after upgrade to XP SP2, you can simply update your modem driver with the original one came with your modem card.

5.6 Is EzPhone Recorder a PC-based phone answering machine.

EzPhone Recorder is NOT a PC-based phone answering machine. However, it is compatible with most answering machine software. If you are interested in using answering machine software along with EzPhone Recorder. We would highly recommend you to use EzVoice. 5.7 Does machine need to be on all the time.

Yes. EzPhone Recorder is software, its machine codes need to be executed by CPU. Without machine running, EzPhone Recorder will not even be loaded into the memory. Therefore, it will not be able to record phone calls for you.

5.8 I do not have cable / DSL modem, can I use EzPhone Recorder.

YES. EzPhone Recorder does not require you to have a Cable or DSL modem. You should be able to use most of functions such as recording incoming and outgoing calls without any problem. However, without an always-on internet connection, you will NOT be notified of newly recorded calls through email.

5.9 I have cable / DSL modem, can I use EzPhone Recorder.

YES. To use EzPhone Recorder Pro, please make sure there is also a voice modem installed on your computer. You can then connect this modem to your telephone jack on the wall. If you are using DSL connection, please connect your voice modem to micro-filters supplied by your DSL service provider.

EzPhone Recorder utilizes your dialup modem as a voice telephone device to record phone calls for you. Therefore, it does not affect any of your existing internet connections and does not require you to subscribe to dialup connection or cancel your DSL/Cable service. You simply replace your telephone recording device with a computer installed with a voice modem.

5.10 I have VoIP phone connection, can I use EzPhone Recorder.

YES. To use EzPhone Recorder Pro, please make sure there is also a voice modem installed on your computer. You can then connect this modem to your telephone jack on VoIP adapter supplied by your VoIP service provider.

EzPhone Recorder utilizes your dialup modem as a voice telephone device to record phone calls for you. Therefore, it does not affect any of your existing communication connections. You just replace your telephone recording device with a computer installed with a voice modem.

5.11 Does EzPhone Recorder work on Windows XP SP2.

YES. EzPhone Recorder works happily on Windows XP SP2. If you encounter problems after upgrading to SP2, please update your modem driver with the one came with your modem card.

5.12 Why caller ID is not displayed.

Caller id is a service from your telephone service provider and you need to subscribe to this service to be able to see caller's name and phone number.

Caller id information can be obtained only if your modem hardware is capable of doing so. If you are unsure about your modem features, please check with your modem manufacturer for further details.

Different countries have different methods to transfer caller id to the called party. Thus, when you install modem driver for the first time, please make sure you have specified country correctly.

Caller id is normally delivered by telephone company to the called party between the first and second ring. Therefore, if someone answers the call before the second ring, EzPhone Recorder will not be able to capture the caller id. There is no way to fix this, it happens only to a particular call and is usually not a problem.

5.13 Why EzPhone Recorder does not record or play legal announcement correctly.

To correctly record or play legal announcement through EzPhone Recorder build-in recorder, please make sure you have attached a microphone and speaker to your computer properly. Moreover, make sure EzPhone Recorder has used the right recording and playing devices that you have connected. 

To verify these settings, you can simply click Setup on EzPhone Recorder menu and choose Legal Announcement submenu item. A dialog window will be displayed, which contains a dropdown list of all sound devices on your computer. Select the correct playing and recording devices from the dropdown list and click Next button to proceed to Setup Legal Announcement window to verify your announcement and then click OK button on the popup window to save these settings.

Additionally, if you only record silence for your legal announcement, please move your mouth closer to the microphone, and re-record it to see whether the problem resolves.

5.14 How can I import a pre-recorded legal announcement to EzPhone Recorder.

In most cases, it is recommended to use EzPhone Recorder built-in recorder to record your legal announcement as this built-in recorder will automatically adjust your recorded announcement and produce the optimized audio quality. However, if you already have a professionally recorded announcement and would like to import it, you can follow the instructions below:

To import a pre-recorded announcement to EzPhone Recorder Pro, please make sure this greeting file is standard MS Windows wave file with PCM format, sampling rate 8000hz, 16 bits and mono channel. If your wave file is not in this format, you can use Microsoft sound recorder to convert this file to the above format. After that, you can simply copy this file to EzPhone Recorder installation directory to overwrite the legal announcement file, which is Legal.wav.

5.15 Why phone recording stopped after a few seconds.

5.16 Why messages can only be recorded for a few seconds.

If your modem is Agere PCI Soft Modem and you want to record voice messages longer than 60 seconds, please obtain a new voice modem as this modem has driver bugs that will automatically stop recording after 60 seconds. If you are not using Agere PCI Soft Modem and still experiencing problems, this is typically due to the settings of  timeout value for hang-up or silence sensitivity as further explained below.

EzPhone Recorder will automatically stop recording if the time limit for the recording is reached. Therefore when you specify this timeout value, it is recommended not to provide small value, so it can record the whole conversation.

EzPhone Recorder will also detect silence and stop recording upon silence. If you provide big silence sensitivity, EzPhone Recorder will be very sensitive in detecting silence. In other words, even if the voice is still loud, EzPhone Recorder will consider it as silence and hence stop recording calls. Therefore, it is recommended not to provide big value for silence sensitivity.

To modify these settings, you can simply select EzPhone Recorder Setup menu item and choose Modem and Call Recording submenu item. A dialog window will then be displayed, click Next button on each dialog window until Setup End of Recording window is displayed. On this window, you will be able to increase the length of a recording and move the silence sensitivity slide to the left to decrease silence sensitivity value.

5.17 Why email forwarding does not work correctly.

To be notified of newly recorded calls through email, you must have an always-on Internet connection. In addition, your email account should not classify call notification emails as bunk or junk mails. More importantly, you should configure email server and login info correctly in EzPhone Recorder. Make sure you have tested your email configuration by clicking Send a Test Email button on EzPhone Recorder Setup Email Notification and Forwarding dialog window.

5.19 How to remove EzPhone Recorder.

Go to Control Panel, click Add/Remove Programs. A window will pop up, select EzPhone Recorder from the program list and click Add/Remove button. The uninstall wizard will automatically remove this product from your hard drive.

Note: Your recorded voice messages will not be removed from the disk. They are left on your hard drive for your future references. To remove them, please go to the directory where you have installed this application, and manually delete them all.
